How to ensure the task is completed on-time; every time?

Whenever we need to provide a timeline for a task to our superior, we consciously or sometimes unconsciously add buffer time to the actual time we would take for the process.

1. We add time buffers to account for any uncertainty causing delays in the execution of the task, based on our previous experience.
2. We allocate time buffers to carry out multitasking, as we might be involved in other priorities as well.
3. We include time buffers to mitigate delays in obtaining inputs or support from other teams, which are not within our control.
4. We allocate time buffers to save face in front of the manager.

This is how a 4-hour task can end up taking 4 days.

To avoid these problems, the following should be ensured by the manager:

1. Ensure the person is not working on other tasks until the current one completes. Avoid changes in priorities from others. Implement an approval gate for any changes in the work schedule.

2. Ensure the resource has all the necessary inputs and support from other teams to start and complete the task. Often, this aspect is given the least importance but causes most of the delays.

3. Aim to cut the time in half. With the above rule, normally the task can be completed much faster. The more time we allocate, the more the work expands to fill the available gap. (Parkinson law)

As an employee, it is necessary to discuss the above mentioned road blocks that preventing us in completing the task on-time. As a Manager, it is necessary to prevent the road blocks pro-actively to the employee.
